Café Time, Task and Leave Tracking: A–Z
By FinalWork · · 6 min read

This article is an editorial example of how a café owner could use FinalWork.
As a café owner, at the beginning of a busy morning, I need more than an arrival time. I need to understand attendance, breaks, leave, responsibilities, reminders, and the work still waiting at closing. When looking for cafe staff time and task tracking software, I want those parts to work together rather than live in separate notebooks and chats. FinalWork connects the employee's day with the team's tasks and the owner's reports in one practical flow.
Time, location and live staff status for a café
An employee taps Start when work begins. The Current Status screen shows who is working, on a break, idle, or on leave. Break start and resume events are recorded separately, so total time, break time, and net working time can be reviewed at the end of the day. This gives the business a clearer attendance record without reconstructing the shift from memory.
When optional location is enabled, I can see the location from which an employee started and finished work. The same transition-based record can apply to the beginning and end of a break. FinalWork does not run continuous background GPS tracking; it records location only when the employee uses the relevant action. If permission is not granted, the action still works and the location remains empty. That boundary keeps the feature useful and understandable.
Work calendars and leave tracking in one process
I can configure weekly working hours and give an employee a personal schedule when the team does not follow one pattern. Hours may continue past midnight. The calendar supports late-start, early-finish, outside-workday indicators, and reminders. It is not a rotating rota planner and does not prevent an employee from starting work, but it gives every time record the right schedule context.
An employee can request a full day of leave or a specific time range. An owner or manager can approve, reject, or create a leave record on the employee's behalf. The request and decision remain in the app and leave appears in time reporting, so the process does not disappear in a message thread. FinalWork does not calculate leave entitlement or remaining balance; it keeps the request, decision, and operational record together.
How café task tracking works during the day
Daily work can be translated into visible, practical tasks such as:
- Warm up the espresso machine and dial in the first shot
- Restock cups, lids and napkins under the bar at opening
- Check freshness and stock of milk and milk alternatives
- Fill and label the cake and sandwich display
- Record chiller and display cabinet temperatures
I assign each task to the person responsible. The employee can mark it complete, undo an accidental completion, and add a short note for that task period. Management can review both status and note. Sensitive customer, patient, or transaction details remain in the authorised specialist system; FinalWork tracks the general responsibility and completion state.
Recurring, shared and instant tasks together
Weekly work may include count coffee bean and syrup stock and place the order, clean coffee residue from the grinder hopper and discharge chute, backflush the espresso machine with detergent, descale the tea urn and teapots. Monthly routines may include check the water filter's replacement date and test water hardness with a strip, remove and clean the group gaskets and shower screens and check them for wear, empty, clean and disinfect the ice machine.
Once created, recurring tasks return in their daily, weekly, or monthly period. The reset time and weekly or monthly renewal day can be adjusted, so routine work is not dependent on one person's memory.
I use an individual assignment when one employee owns the job. For an opening, closing, or shared-area check that only one person needs to perform, I use a common task. When one employee completes it, it closes for everyone and shows who completed it and when. If every employee must perform the same action separately, Add to Everyone creates individual copies. An unexpected job can be added as a temporary task and tracked in the same place.
Manager, notification and reminder settings
I can add a manager to help with employees, tasks, leave, and reports. A manager is not presented as a worker who clocks time and receives personal tasks, and cannot change owner-only settings. This role separation helps a larger team share daily administration without losing clarity.
Reminders can cover a missed start, a long break, an open work period, or pending tasks. Work start and finish events and task status can use in-app and phone notifications, with Telegram available as a configurable additional channel. The browser version does not provide phone push notifications, so I choose channels that match the devices the team actually uses. Employees who are on leave or not working avoid unnecessary task reminders.
Time and task reports close the loop
The time report brings together start, finish, break, net time, late start, early finish, leave, and any automatic closing indicator. The task report shows completion status, time, the person who completed the work, common tasks, and notes. I can review today, the week, the month, or a custom period and export PDF or CSV when needed.
These reports do not calculate payroll or guarantee legal compliance. They do, however, help a café owner understand where the day slowed down, which responsibility remained open, and how the work calendar was applied. Live status and historical reporting support each other, turning the app into more than a simple timer.
Final settings for a complete café workflow
I begin by creating the workspace, adding employees and, where useful, a manager. I then configure weekly or personal calendars, task reset rules, the leave process, notification channels, and optional transition location. Finally, I add individual, shared, temporary, and recurring tasks based on the real work of the business. From clock-in location to leave records and the closing report, the whole day can then move through one application.
Open FinalWork and create a workspace for your team. Once the general settings and business-specific tasks are in place, employees can see what comes next while the owner can review time, location, leave, tasks, and reports from one clear workflow.
